How to participate

Who can participate to the conference?

The conference can be attended as observer in virtual online mode by anyone interested to join with no registration or payment needed. Scientists, researchers, practitioners, industry experts, students can join the ISM 2020 Microsoft Team and attend all the virtual events that are scheduled in the program.

How will it be held?

The conference will be held on Microsoft Teams. You can download the MS Teams app on your computer from here or join by using just your browser.

Before the conference: procedure for online participation (Important)

In order to be able to join the online ISM 2020 conference, we kindly ask you to follow the procedure here below.

  1. If you do not already have a Microsoft TEAMS account, please sign-up for free at the following website to create an account: https://www.microsoft.com/en-US/microsoft-365/microsoft-teams/group-chat-software

  2. You will be invited to download the Microsoft TEAMS application for Desktop and/or mobile. Alternatively you can also participate just via web browser.

  3. Click on the button below and fill out the form to have access to the conference sessions and events on Microsoft Teams. Please be sure to share the link of this form with all your co-authors or people who may want to participate to the conference. Filling out the required information is necessary to join. Once we receive your information, you will be added as a member of the ISM 2020 Team and be able to access the online conference activities and event. Please note that if you do not fill out this form, you will not be able to join the sessions and access the event.
  1. Once you filled out the form, before the conference, you will receive a confirmation email that you have been added to the ISM 2020 Microsoft Teams and that you are now able to see the ISM 2020 Team and related Channels, namely Plenary Room, Room 1, Room 2, Room 3, Room 4.

During the conference: how to join the sessions and access the events

All the ISM sessions and events will be scheduled in the above mentioned rooms. Once you access the room, you will find all the sessions scheduled for that day. Be sure to select the session of your interest by looking at the time of the session and its title. Alternatively, within the Program section of this website you will find a direct link to each room. Please consider that you will be allowed to join the sessions only 15 minutes before the beginning of the session.

Once you access the session, please be sure to keep your microphone and camera switched off unless you are one of the Speakers or the Session Chair. You will be allowed to use your microphone or the chat during the question time. Click on the buttons below to read the guidelines and instructions depending on your role at the ISM 2020.

Are you a Session Chair?

If you are a session chair, below you can find the procedure you are required to follow to manage your session. Please consider that a Session Assistant will be available during the whole duration of the session in case you need assistance. You can identify him/her with the name “Session Assistant” among the participants joining the online session. Please refer to the Session Assistant for any problem during the Session.

  1. Please join the session at the scheduled time according to the conference program. You can find the direct link to join the sessions in the Program section of this website. Please consider that you will be allowed to join the sessions only 15 minutes before the beginning of the session.

  2. Please be sure to access the online session at least 15 minutes before the session’s scheduled time. Familiarize yourself with the Microsoft TEAMS meeting functionalities (e.g. camera and microphone controls, desktop sharing, chat, list of participants, etc.). You can easily find all these functionalities on the screen.

  3. Keep your camera and microphone switched ON. Before the beginning of the session, please feel free to interact with the participants, let them familiarize with desktop sharing functionalities, etc.

  4. Few minutes before the session, please check that all the speakers are present and ready. In case of any no-shows, please inform the session assistant, who will give you further instructions on how to proceed.

  5. At the time of the session you can introduce yourself as Session Chair and you can start the session. According to the number of speakers in your session, please remind the speakers the time available for their presentation:

    • 15-17 minutes for presentation + 5 minutes questions (if your session includes 4 papers).
    • 10-13 minutes for presentation + 5 minutes questions (if your session includes 5 papers).

  6. Ask the first speaker to switch the microphone and the camera ON and introduce the speaker. Ask the speaker to share his/her screen and start the presentation.

  7. After the presentation, please check if there are questions from the session attendees by looking at the “raised hand” symbols in the list of participants and let them (one by one, calling their names) to make their questions and receive the answers from the speaker. After question time, remind the speaker to switch the camera and the microphone OFF. If there are no questions from the audience, please be prepared to “break the ice” by doing the first question.

  8. Please repeat steps 5 and 6 for the remaining speakers.

  9. After all the presentations, please take a couple of minutes to thank everyone and close the session.

Are you a Speaker?

If you are a speaker, below you can find the procedure you are required to follow to carry out your presentation. Please consider that a Session Assistant will be available during the whole duration of the session in case you need assistance. You can identify him/her with the name “Session Assistant” among the participants joining the online session. Please refer to the Session Assistant for any problem during the Session.

    1. Please join the session at the scheduled time according to the conference program. You can find the direct link to join the sessions in the Program section of this website. Please consider that you will be allowed to join the sessions only 15 minutes before the beginning of the session.

    2. Please join the session at least 10-15 minutes before the scheduled time and introduce yourself to the Session Chair (you can switch your camera and microphone ON). You can easily find the name of the Session Chair within the Conference Program. Feel free to familiarize yourself with the Microsoft TEAMS meeting functionalities (e.g. camera and microphone controls, desktop sharing, chat, list of participants, etc.). You can easily find all these functionalities on the screen. After presenting yourself to the Session Chair, please switch your camera and microphone OFF.

    3. At a certain point in time (according to the scheduling of the presentations in the session), the Session Chair will call your name, present you and invite you to make your presentation. At this time, please switch your microphone and your camera ON and share your screen to show your presentation.

    4. Make your presentation and be sure to respect the time given for the presentation and to leave some minutes for questions and discussion. According to the number of speakers in your session, please remind that you have:

      • 15-17 minutes for presentation + 5 minutes questions if your session includes 4 papers.
      • 10-13 minutes for presentation + 5 minutes questions if your session includes 5 papers.

    5. After the presentation, please be sure to switch again your microphone and camera OFF.

  1. Please join the session at the scheduled time according to the conference program. You can find the direct link to join the sessions in the Program section of this website. Please consider that you will be allowed to join the sessions only 15 minutes before the beginning of the session. Once you join, please be sure your camera and microphone are switched OFF.

  2. You will be allowed to make questions at the end of each presentation. Please be sure to raise your hand in case of question (you have to click on the “raised hand” symbol in Microsoft TEAMS. The Session Chair will allow you the make the question by calling your name.

  3. When you ask the question remember to switch your microphone and camera ON

  4. After the interaction with the Speaker please remember to switch your microphone and camera OFF.

Build and enlarge your network

Interaction Virtual Rooms

Networking is an essential aspect of conferences. Even in the time of pandemics, ISM 2020 is a great venue to enlarge your network and build your community. For this reason, you can find three Interaction Rooms within the ISM 2020 Team (as Teams channels). Feel free to go inside and talk/meet other participants! For example, if you got interested in someone’s speech or research interests, feel free to tell him/her to meet in one of the interaction rooms to continue the discussion face-to-face. You are allowed to start an instant meeting (only in the interaction rooms) and invite your colleague to join you. Important: Transfers with shuttles from the hotels in Linz (Arcotel Nike Linz**** and prospectively from Ibis Linz*** or Star Inn Hotel Promenadengalerien***) to the conference venue in Hagenberg will be organised during the day depending on the program.

Getting to Linz

Welcome Reception Event @ Ars Electronica Center

The Ars Electronica Center (AEC) is a center for electronic arts run by Ars Electronica situated in Linz, Austria, at the northern side of the Danube opposite the city hall of Linz. It has been built on the right side of the Nibelungenbrücke. The building is also known as the “Museum of the Future”. The most modern techniques from the technology sector are presented to the museum’s visitors.
